The agent receives a name without the property.
The enquiry loses its listing reference, campaign context or stated requirements as it moves into the CRM. Preserve the original source so the response can be relevant.
For real estate agencies & property service teams
A property enquiry needs more than a contact record. Keep the source, property reference and buyer or tenant requirements together, then make agent ownership and the next viewing step visible.
Where this helps
A fit for an established real estate team with an active enquiry source, an agreed inventory process and someone accountable for agent assignment. Start with one team, one supported source and one existing pipeline.
The enquiry loses its listing reference, campaign context or stated requirements as it moves into the CRM. Preserve the original source so the response can be relevant.
An enquiry appears in a shared inbox or group, but has no confirmed owner. A visible assignment and escalation rule helps the team find the gap.
The team cannot distinguish a no-show, unsuitable property, later decision or serious opportunity. Record the outcome and a proportionate next action.
Example workflow
A starting point to adapt to your team, tools and customers.
Bring one authorised enquiry source into the CRM with its property or campaign reference, transaction type, stated preferences and original timestamp.
Check: property references survive the handoff and missing references are visibly flagged.Apply an agreed rule using team, area, service or availability information that is actually maintained. Escalate unassigned enquiries to a sales owner.
Check: absences, duplicate enquiries and reassignment have a defined outcome.Create a viewing task or connect one supported scheduling workflow. Keep confirmation, rescheduling and cancellation states attached to the enquiry.
Check: a changed appointment updates the existing record instead of starting a second chain.Record attended, cancelled, no-show or follow-up needed, then assign the next action. Use the team's actual stage definitions rather than treating every viewing as a likely sale.
Check: the report separates enquiries, viewings and completed commercial outcomes. The website has a job too
Useful answers, a distinctive experience and a clear route into the business. Choose the work that addresses the actual constraint.
Give buyers, tenants and property owners a clear route when the business genuinely serves each group. Forms should ask questions appropriate to that intention.
If listing pages are included, agree the source of truth, update responsibility and unavailable-property behaviour. Availability, prices and property claims come from information your team approves.
Publish original explanations and useful service information where you can maintain it. A page with a different neighbourhood name and the same text is not a meaningful local resource.
Measure what matters
An authorised source connection, approved property/service information, assignment rules, a maintained agent roster and sample records that can be used for testing.
A baseline for source completeness, unassigned enquiries, first-response time, viewing attendance and documented outcomes. Separate duplicates and spam from useful demand.
The right agent sees the right context, updates survive retries and viewing changes reach the correct record. Sales, rental yields and investment returns are never inferred from workflow activity.
A focused starting point
Trace one recent enquiry through the source, assignment, response and viewing process. Choose the handoff where information or ownership is being lost; validate that source's permitted integration before building around it.
We agree the deliverables, access, responsibilities, acceptance tests and fee before implementation. Software subscriptions, usage and additional integrations are identified separately.
Portal access is not assumed. Listing-feed builds, inventory synchronisation, WhatsApp setup, agent payroll, commissions, property transactions and additional sources are separate scope. Your team remains responsible for approved claims, current listing information and client decisions.
Questions, straight answers
A few practical questions about real estate workflows.
Only after checking the particular portal, your account permissions and a supported integration method. We do not promise access to a portal API or bypass its restrictions. If there is no suitable supported connection, we agree a different capture route or leave that source out of scope.
Yes. The intended model keeps the person distinct from each enquiry and its property context. We review the existing CRM data model before implementation so duplicate protection does not incorrectly merge different requirements or properties.
A defined assignment rule can use reliable data already maintained by the business. The rule, fallback owner, reassignment conditions and visibility are agreed with the sales manager. Complex availability engines or multiple-team routing need their own scope.
Only a reviewed implementation with a trustworthy current source should present listing-specific information. An initial assistant can collect preferences and explain approved services, then hand over to an agent. It should not invent inventory, returns, availability or transaction advice.
That is a separate product scope. The initial website may focus on the agency's service proposition and a reliable enquiry path. Listing feeds, search, filtering and inventory updates are assessed explicitly rather than assumed to be part of a marketing website.
